Privacy Policy

This policy explains how Xe Ghep Viet collects, uses, stores, shares, and protects personal data when you visit our website or use the passenger app, driver app, or transport company/cooperative portal.

1. Scope

This policy applies to the Xe Ghep Viet website, passenger app, driver app, driver app for transport companies/cooperatives, and the related administration portals used to provide, support, and manage transportation services. This public policy is written for users and does not disclose detailed algorithms, internal processing criteria, or backend operating methods.

2. Data we collect

Depending on how you use the service, we may collect:

  • Account information: full name, phone number, account type, account status, account identifier, and information needed to log in, authenticate, or protect your account.
  • Personal profile information: avatar, date of birth, gender, hometown, and other profile details you provide to complete your account.
  • Driver information: driver profile, vehicle information, license plate, seat count, ID/document numbers, photos of documents/profile materials, and profile approval status.
  • Transport company/cooperative information: unit code, company name, address, contact details, operating area/routes, legal representative information, and data needed to manage affiliated drivers.
  • Booking and trip information: pickup and dropoff, expected time, service type, seat or parcel details, displayed price, processing status, completion/cancellation history, and notes provided by users.
  • Location: approximate or precise location of passengers or drivers when needed to determine service areas, support pickup/dropoff, support trips, improve safety, or handle support requests.
  • Payment, wallet, and reconciliation information: balances, top-ups, payments, debts, or related transaction records if those features apply to drivers, transport companies/ cooperatives, or other relevant parties.
  • Device and technical information: device information, IP address, connection status, notification tokens, technical errors, security logs, and diagnostics needed to maintain the service.
  • User-provided content: cancellation reasons, support notes, and information submitted through contact or customer support forms.

3. How we use data

  • Create, authenticate, and protect accounts.
  • Receive, display, and support booking or trip requests.
  • Support communication between passengers, drivers, and transport units when needed.
  • Manage service history, payments, wallets, or reconciliation where applicable.
  • Review driver profiles and transport company/cooperative records.
  • Send service notifications, support users, and handle disputes.
  • Detect technical errors, fraud, misuse, or policy violations.
  • Improve service stability, performance, and quality.
  • Comply with legal, accounting, tax, safety, and security requirements.

4. Location permission

The app may request location permission to provide features related to service areas, pickup/dropoff points, trip status, safety, and customer support. For drivers and cooperative drivers, location permission may be necessary while the driver is available for service or performing a trip.

You can disable location permission in your device settings. If location permission is disabled, some features such as booking, accepting trips, pickup support, or trip status updates may be limited.

5. Photos, documents, and profiles

The app may request photo access so users can upload avatars, documents, or profile materials for review. These images and documents are used for profile verification, account operations, service safety, and legal compliance where applicable.

6. Data sharing

We do not sell your personal data. Data may be shared when necessary:

  • Between passengers and drivers to perform a trip, such as name, phone number, pickup/dropoff information, and relevant request details.
  • With transport companies/cooperatives or authorized administrators to manage affiliated drivers, profiles, reconciliation, and related support.
  • With infrastructure, hosting, notification, map, or technical service providers that help operate the platform.
  • With competent authorities when legally required or when needed to protect users, safety, and platform rights.

7. Advertising tracking

Xe Ghep Viet currently does not use personal data to track users across third-party apps or websites for behavioral advertising. If our data practices change, we will update this policy and app store disclosures before applying the change.

8. Storage and security

Data is stored on infrastructure used to operate the service. We apply reasonable access controls, authentication, security logging, and technical safeguards to reduce risks of loss, unauthorized access, or misuse.

Data is retained for as long as needed to provide the service, handle disputes, perform reconciliation, maintain security, comply with law, or meet accounting and operational obligations.

When an account is deleted, we prioritize deleting or anonymizing directly identifying information such as full name, phone number, account information, login tokens, device sessions, and personal profile data. Certain operational records may continue to be retained in a de-identified form for reconciliation, revenue reporting, accounting, complaint handling, or legal obligations.

9. Your rights

  • Request access to, updates to, or correction of account information.
  • Withdraw location, photo, or notification permissions in device settings.
  • Request deletion of your account and personal data that is no longer required.
  • Contact us with questions about how we process your personal data.

When you submit a request, we may need to verify your identity to protect your account and prevent unauthorized requests.

10. Account deletion

Users may initiate an account deletion request in the app under Account and Security, or contact support if they cannot access the app. After the request is confirmed, account login may be disabled during processing.

After we verify a valid request, we will delete or anonymize the account's directly identifying personal data within a maximum of 90 days, unless a longer retention period is required by law or contractual obligations.

Data deleted or anonymized may include full name, phone number, account information, login tokens, device sessions, personal profile data, and other data that is no longer necessary for service operations or legal compliance.

We may retain booking history, trip history, transaction records, reconciliation records, safety logs, complaints, or other operational records that are necessary for revenue reporting, accounting, fraud prevention, dispute resolution, and legal compliance. Where possible, these records will be separated from direct identifiers, for example by replacing the user's name with a deleted-user status and masking or anonymizing the phone number.

We currently do not provide a separate self-service flow for users to request deletion of only part of their data while keeping the account active. Users may request account deletion or contact support for review of specific data requests.

11. Children

The service is not directed to children under 13. Users who are not old enough to be legally responsible under local rules should use the service only with consent from a parent or guardian.

12. Changes to this policy

We may update this policy when features, data processing practices, or legal requirements change. The updated version will be published on this page and will take effect from the stated date unless otherwise noted.

13. Protection of operational information

This policy explains privacy and data processing at the level needed for users. Certain technical processes, safety measures, internal criteria, and platform operating methods are confidential and are not published on the public website.
